Event411 Announces the Addition of Automated Roommate Pairing to PremierPlanner

Event411, The Leader in Web Based planning Solutions, today announced the release of Automated Roommate Pairing as an integrated part of PremierPlanner’s Housing Manager. “Roommate pairing was identified as a key element of Asian events and based on EventClicks’ recommendations, we agreed that it was a key functionality to develop” said Lawrence Howorth, Chief Operating and Financial Officer for Event411, “PremierPlanner’s new roommate matching solution helps companies save on costs as well as time since it alleviates the manual work that was previously involved with roommate pairing.”

The roommate pairing function allows companies to save up to 50% of room costs by enforcing hotel-room sharing during meetings or conferences. The roommate pairing function extends PremierPlanner’s already robust permissioning capability by allowing the event organiser to set roommate policy from the hotel level down to the room level. This policy determines if roommate selection is mandatory and whom the delegate can select as a roommate. During the registration process, delegates are presented with a real-time list of available roommates to select from. Delegates that select each other are instantly matched, confirmed and accommodation is automatically arranged. Unlike other roommate pairing solutions, PremierPlanner gives delegates the option to accept or decline roommate-pairing requests, further reducing planner workload by reducing or eliminating requests for changes. 

In addition, the roommate matching solution extends PremierPlanner’s extensive control over attendee registration and housing by allowing the planner to assign housing and roommates outside predefined policy; maintaining the time-saving automation of the system while allowing the organiser to meet the needs of individual attendees.

With this automated system, event organisers and hotels can download accurate rooming lists in real-time using PremierPlanner’s centralised, on-line system. This efficient method of consolidating information can assist venues in their preparation for individual guest preferences based on their profiles.
